Start with one real event, not a perfect demo file.
The best implementation starts with the inputs that create real work today: a roster export, package or order data, prepared images, required athlete fields, and the delivery rules the studio has promised families. That gives the workflow a useful baseline and exposes the exceptions worth designing around.
1. Define the records
Identify the keys that connect the roster, package selection, image file, and shipping information. A stable identity field prevents the cleanup work from being deferred until after checkout or upload.
2. Review what fails
Treat incomplete rows, duplicate athletes, missing assets, and package conflicts as an exception queue. Human review is most valuable here, before the team creates a difficult-to-unwind production problem.
3. Hand off with context
Only a reviewed batch should proceed to lab-ready output. Preserve event, athlete, product, and delivery context so that status questions can be answered without a spreadsheet scavenger hunt.
What stays in your control
Your studio rules remain part of the workflow.
